Your trust is very important to us. This means the Βι¶ΉΤΌΕΔ is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why we are doing this and how you can participate

We are partnering with the Scottish Library and the Information Council to bring you the Climate Tales competition. The Climate Tales competition is aimed at inspiring children and young people ages 5-16 years old from across the UK to engage in the fun of writing.

The competition encourages creativity, imagination and originality while promoting distinctive voices, rather than focusing on spelling, grammar or punctuation.

We are asking for children and young people to write a short story, spoken-word recital, poem, rap or monologue. The theme of the competition is for children and young people to express their fears, hopes, ambitions, ideas and solutions around climate change.

As the winning entries will be published it is important that your child does not include any personal details about themselves in the title or body of the submission; entries which contain this information may be removed from the competition.

Submissions will be put into one of three age bands, ages 5 – 9, 10 -13 and 14 -16. There will be 9 winners picked from entrants’ submissions, 3 for each of the age categories.

If your child is one of the winners of the competition, they will be recorded and/or filmed reading their entry. It may be presented at the 26th UN Climate Change Conference (COP26) at the Scottish Event Campus in Glasgow in November 2021.

We may also feature and broadcast the winner’s recordings and/or video (that includes their first name and age) across Βι¶ΉΤΌΕΔ programmes, Βι¶ΉΤΌΕΔ website, Βι¶ΉΤΌΕΔ radio and Βι¶ΉΤΌΕΔ Radio Scotland. Your child’s recording and/or video may also be used across on our online platforms and this may also include use on Βι¶ΉΤΌΕΔ social media pages on Twitter, Instagram, Facebook, TikTok and YouTube.

What Βι¶ΉΤΌΕΔ will collect and how we will use it

The Βι¶ΉΤΌΕΔ will collect and process the personal data that you have provided to us about yourself and your child.

When your child applies, the Βι¶ΉΤΌΕΔ will collect and process the following personal data about you (parent or guardian):

  • Name
  • Email
  • Phone number
  • Your relationship to the child, whether you are a parent or guardian
  • Permission for your child to apply

The Βι¶ΉΤΌΕΔ will also collect and process the following personal data about your child:

  • Name
  • Age
  • Gender
  • UK Region

Should your child’s entry be shortlisted we will also collect and process the following personal data:

  • We will also ask for proof of your identity (Parent or guardian)
  • Proof of your child’s age and eligibility.

Who is the Data Controller?

The Βι¶ΉΤΌΕΔ is the 'data controller' of this information. This means that the Βι¶ΉΤΌΕΔ decides what you and your child’s personal data is used for, and the ways in which it is processed.

For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the Βι¶ΉΤΌΕΔ has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The legal basis on which the Βι¶ΉΤΌΕΔ processes your personal information is of legitimate interest. It is in the Βι¶ΉΤΌΕΔ’s legitimate interest to process your personal data to manage the competition and to notify the winners. To increase audience interaction through participation and support learning for people of all ages.

We have a legitimate interest in using the winner’s personal data for production of the recordings and/or videos for journalistic, artistic and literary purposes and to serve all audiences with content which informs, educates and entertains.

Applications will only proceed where parental permission has been provided and verified.

Do we share your personal data with Third Parties?

The Scottish Library and the Information Council are supporting the Βι¶ΉΤΌΕΔ as the judging panel for this competition.

A panel of librarians from the Scottish Library and Information Council will review all entries and shortlist your submissions, afterwards a panel of six celebrity judges will review the shortlisted submissions.

We will share your child’s entry and title, the submission ID and your child’s age category with members of the judging panel.

When you use the Βι¶ΉΤΌΕΔ’s Uploader tool to send us your submissions, we’ll share you and your child’s personal data with our selected third-party partners who will collect and store this information on our behalf acting as the Βι¶ΉΤΌΕΔ’s data processors. We ensure that our partners have all entered into an appropriate contract, which ensures they cannot do anything with your personal data except as we have instructed them to do so.

We will not share your personal data with any other third parties unless required or permissible by the law.

We may share the submission winner’s broadcasted recording and/or video with our partners, Scottish Library and Information Council and they may share this on their own platforms including social media sites, such as Facebook, Twitter, TikTok, Instagram and YouTube. Please refer to the Scottish Library and Information Council’s privacy policies for more information.

Retaining your information

Where we have requested proof of identity this will retained for no longer than 24 hours before being deleted for the sole purpose of confirming eligibility.

If your child is not shortlisted, the Βι¶ΉΤΌΕΔ will retain your and your child’s personal data for up to six months from the date of the upload, after which it will be deleted.

If your child’s submission is shortlisted, we will keep your and your child’s personal data for up to one year after the competition closes.

The Βι¶ΉΤΌΕΔ will retain the winner’s name, gender, and the title of the story for the lifetime of the competition to help run future competitions, to maintain accurate records and answer any queries. All other information will be deleted after 12 months.

For personal data collected through the Βι¶ΉΤΌΕΔ’s Uploader tool and retained in alignment with the above, you can ask to have your personal data deleted any time by contacting, climatetales@bbc.co.uk.

Broadcasted or featured winners recording and/or video on our online platforms including Βι¶ΉΤΌΕΔ’s social media channels, the content will not be deleted and will be archived in alignment with Βι¶ΉΤΌΕΔ Archiving policy indefinitely.

Should the winner’s recording and/or videos be broadcasted or featured on the platforms of our partner (the Scottish Library and Information Council) including their social media platforms, please note that these are held under separate privacy policies to the Βι¶ΉΤΌΕΔ. If you have any data protection questions or requests in relation to our partner’s use of the recordings and/or videos, please contact Scottish Library and Information Council directly.

Your rights and more information

You have rights under data protection law. You can request a copy of the data the Βι¶ΉΤΌΕΔ stores about you, which includes your Βι¶ΉΤΌΕΔ Account data and the data described above.

You have the right to ask for your data we collect to be deleted however there are exceptions to your rights, and they may be limited in some situations for example we may refuse this request.
