Your trust is very important to us. This means the Βι¶ΉΤΌΕΔ is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

The Βι¶ΉΤΌΕΔ has added you to its Corporate Affairs communications mailing list database because we would like to share announcements about our corporate affairs, and send related news, updates, and invites, where relevant. This helps the Βι¶ΉΤΌΕΔ to keep vital partners and interested parties informed of the Βι¶ΉΤΌΕΔ’s work.

Please note that as a public authority we have an obligation to send critical communications to some key contacts. Where this is the case, even if you unsubscribe from all communications, you may continue to receive some direct communications from Βι¶ΉΤΌΕΔ Corporate Affairs. If you would like us to remove you from our Corporate Affairs communications mailing list entirely, please reply to our email and a member of the team will action your request.

Online Events

There may also be circumstances where the Βι¶ΉΤΌΕΔ offers a virtual events experience, which you would be able to participate in from the comfort of your own device. We may be inviting you to these event(s) as part of a partnership event, and our event partner may have shared your personal data with us to invite you to this and future similar events.

When you register for our Corporate events that are online, we will use Zoom to collect your name, organisation, and email address. You will receive a link to watch the event, so please ensure you have internet access with Zoom installed on your chosen device. 

What will the Βι¶ΉΤΌΕΔ collect and how will we use it?

The Βι¶ΉΤΌΕΔ will collect and process your personal data which we have gathered, you have provided us, or has been provided to us by a third party such as the organisation you work for. We will process your personal data for the purposes of sharing announcements about our corporate affairs, and sending related news, updates, and invites, where relevant.

You must be 18 years or older to participate in our online events. If you are under 18 you must be registered and accompanied by an adult. 

Personal data

The personal data we hold about you, which we will use in order to share corporate affairs announcements and related communications such as news, updates, and invites, where relevant may include: 

  • Name
  • Title
  • Job title
  • Email address
  • Address
  • Phone number
  • Organisation
  • Any feedback or communications from you to the Corporate Affairs team
  • Your Twitter(X)/Instagram handle, where relevant

The personal data we hold about you, which we will use in order to ensure that our stakeholder engagement is reaching all ages and gender, may include your: 

  • Age
  • Gender
  • Data of birth

When you have signed up to an online event, additional personal data that we will collect through Zoom includes:

  • Questions, if you choose to submit one, with your name linked
  • Country
  • Join and leave time
  • Registration date
  • If you do not attend a webinar you have registered for

We will use this personal data to inform understand where people are watching our events and in general how long they stayed to watch them for, so that we can identify which events are more successful and how well we are reaching our audiences.

Who is the Data Controller?

The Βι¶ΉΤΌΕΔ is the “data controller” of your personal data. This means that the Βι¶ΉΤΌΕΔ decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the Βι¶ΉΤΌΕΔ has the responsibility to comply, and to demonstrate compliance with data protection law.

Where the Βι¶ΉΤΌΕΔ is offering a virtual corporate experience, the Βι¶ΉΤΌΕΔ and its event partner will operate as independent “data controllers”. This means that both the Βι¶ΉΤΌΕΔ and its event partner, independently decide what your personal data is used for, and how it will be processed.

For our online events Zoom will also operate as an independent “data controller” for the purpose of hosting the recorded event on their platform. You can find a copy of the .

Lawful basis for processing your personal data

The lawful basis on which the Βι¶ΉΤΌΕΔ processes your personal data is task in the public interest, as it is part of the Βι¶ΉΤΌΕΔ’s core functions to communicate, as a public body, with key stakeholders who would have an interest in our activities.

Sharing your personal data

The Βι¶ΉΤΌΕΔ works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the Βι¶ΉΤΌΕΔ and not independently of the Βι¶ΉΤΌΕΔ. We currently use a third-party data storage provider to store and process your personal data in the Corporate Affairs communications mailing list database.

When we are offering virtual corporate experiences, these sessions may be recorded which may be shared with third-parties.

If you have a Zoom account, you will have already signed up to their terms and conditions and privacy policy. If you do not have a Zoom account, please visit Zoom to find out more information about how they will process your personal data.

We may share your personal data with a third-party where required or permitted by law to do so.

Retaining your personal data

We will retain your personal data for five (5) years on a rolling basis and we will delete your data from our system if we haven’t contacted you or updated your data in that time.

Your personal data will be stored within the UK. If your data is processed outside the UK, the Βι¶ΉΤΌΕΔ will ensure that it is protected to the same standards as if it were being processed within the UK.

Where you attend our online events, the Βι¶ΉΤΌΕΔ will retain your comments or questions along with your name, if you provide it, following the event(s).

If your comment or question is used during the event, it will be retained and archived by the Βι¶ΉΤΌΕΔ in perpetuity for journalistic purposes. 

If you attend one of our online events, Zoom will keep a copy of your name, email address, country and watch time for a period of twelve (12) months following the webinar. 

The Βι¶ΉΤΌΕΔ will store your personal data within the UK and the EEA.

Your rights and more information

You have rights under data protection law:

  • You can request a copy of the personal data the Βι¶ΉΤΌΕΔ holds about you.
  • You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
  • You have the right to ask for the personal data we collect about you to be deleted, however there are limitations and exceptions to this right which may entitle the Βι¶ΉΤΌΕΔ to refuse your request.
  • In certain circumstances you have the right to restrict the processing of your personal data, or to object to the processing of your personal data.
  • You have the right to ask that we transfer the personal data to you or to another organisation in certain circumstances.
