Βι¶ΉΤΌΕΔ World Service International Podcast Competition: Privacy notice

Your trust is very important to us. This means the Βι¶ΉΤΌΕΔ is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

If you decide to enter the World Service International Podcast Competition 2020, the Βι¶ΉΤΌΕΔ will process your personal data for the purposes of administering the competition. This includes the assessment of your entry by a panel of judges, the selection of longlisted and shortlisted entries, and if you are the winner, entering into correspondence regarding the prize and working with you (including entering into any additional agreements) regarding the development and production of a pilot podcast series.

What will Βι¶ΉΤΌΕΔ collect and how will we use it?

The Βι¶ΉΤΌΕΔ will collect and process the personal data that you provide about yourself:

  • Name
  • Phone number
  • Email address
  • Age
  • Country of residence
  • Information about your podcast idea and pitch
  • The audio files that you provide as part of the entry and during the shortlisting process.

It is possible the Βι¶ΉΤΌΕΔ will also collect and process special category data depending on the content of your submission. This might include, for example:

  • Race or ethnicity
  • Health
  • Religious or philosophical beliefs
  • Political opinions

Please carefully consider if you wish to disclose any special category data.

Who is the Data Controller?

The Βι¶ΉΤΌΕΔ is the “data controller” of your personal data. This means that the Βι¶ΉΤΌΕΔ decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the Βι¶ΉΤΌΕΔ has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The legal basis on which the Βι¶ΉΤΌΕΔ processes your personal data is the performance of its public task. The Βι¶ΉΤΌΕΔ’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains.

Any special category data that is evident from your entry will be processed on the basis of the Βι¶ΉΤΌΕΔ’s substantial public interest in producing broadcast content.

Who do we share your information with?

The Βι¶ΉΤΌΕΔ upload tool for submitting your entry is hosted internally within Βι¶ΉΤΌΕΔ systems. If your entry is part of the final shortlist of ten entries, your entry will be assessed by a panel consisting of Βι¶ΉΤΌΕΔ and non-Βι¶ΉΤΌΕΔ judges, who are experienced podcast and radio professionals. Non-Βι¶ΉΤΌΕΔ judges will be provided with secure access to the entries and links to the audio files, using a secure Βι¶ΉΤΌΕΔ Dropbox link.

Otherwise, we will not share your personal data or contributions with any other third parties without your consent, unless required by law to do so.

Retaining your information

If you are unsuccessful, the Βι¶ΉΤΌΕΔ will delete your personal data after a period of two months after the winner has been announced. If you are the winner, your personal data will be stored for a period of two years for regulatory purposes and your name will also be published as part of the Βι¶ΉΤΌΕΔ’s broadcast content. The winner may be required to do post award publicity and all promotion will be discussed after the winner is announced.

Your rights and more information

You have rights under data protection law. You can request a copy of the data Βι¶ΉΤΌΕΔ stores about you, which includes your Βι¶ΉΤΌΕΔ Account data and the data described above.

You have the right to ask for the data we collect to be deleted; however there are exceptions to your rights and they may be limited in some situations, for example we may refuse this request.
