Scotland’s Greatest Escape Privacy Notice 2023
Your trust is very important to us. This means the Βι¶ΉΤΌΕΔ is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.
Why are we doing this and how can you participate?
The Βι¶ΉΤΌΕΔ with Red Sky Productions are giving you the chance to nominate Scotland’s best commercial tourism property (such as hotels, B&Bs, apartments and campsites) for Scotland’s Greatest Escape.
You can nominate your own business or the organisation or company you work for. However, you will need to state if you are nominating your own business.
You can also nominate a business or location you have visited but have no affiliation to, so long as you have visited it in the last five (5) years.
The Βι¶ΉΤΌΕΔ will collect the personal data via an online platform used by the Βι¶ΉΤΌΕΔ.
The nominees will be checked for eligibility and then longlisted by Red Sky Productions. Following these checks, nominees will be asked to complete a supporting application form sent by email which must be returned to Red Sky Productions and will be forwarded on to the award judges for consideration. This supporting application will then be scored and used by the judging panel to draw up a shortlist.
Those selected for the shortlist will feature in the series Scotland’s Greatest Escape, with an eventual winner crowned in the series final.
If you are self-nominating and we broadcast your contribution on-air, this may include the programme being available online and/or on demand, and your contribution may be used again in a future broadcast.
We may use your contribution for promotional purposes on the Βι¶ΉΤΌΕΔ’s social media sites.

What personal data will the Βι¶ΉΤΌΕΔ and Red Sky Productions collect and how will we use it?
The Βι¶ΉΤΌΕΔ and Red Sky Productions will collect and process the personal data for the purposes of selecting entrants for Scotland’s Greatest Escape and for assessing their eligibility.
Personal data:
You must be 18 years or older to nominate a business/company for Scotland’s Greatest Escape.
The Βι¶ΉΤΌΕΔ will collect and process the following personal data about you if you are nominating a Scottish Escape you have visited:
- Full name
- The name and location of the Scottish Escape you are nominating, along with a link to their website and social media handle if available
- Date(s) of your visit
The Βι¶ΉΤΌΕΔ will collect and process the following personal data about you if you are nominating a Scottish Escape you own or work for:
- Full name
- Name of your Scottish Escape business/company
- The address of your Scottish Escape business/company
- Email address
- Contact telephone number
- Website address
- Social media handle
Background checks
Before selecting a winner, Red Sky Productions will run background checks on nominees, including but not limited to, social media screening checks, news article checks, and Companies House checks. Red Sky Productions will use the personal data processed as part of background checks to verify nominees meet the eligibility criteria. Information returned as part of a background check may not rule you out of the awards, but non-disclosure of such information which is later discovered may result in your exclusion from the awards.
Who is the Data Controller?
The Βι¶ΉΤΌΕΔ and Red Sky Productions are the “data controllers” of your personal data. This means that the Βι¶ΉΤΌΕΔ and Red Sky Productions decides what your personal data is used for, and the ways in which it is processed.
For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice by the Βι¶ΉΤΌΕΔ. We advise you to please refer to Red Sky Productions’ privacy policy for further information about how they will process your personal data. As data controllers, the Βι¶ΉΤΌΕΔ and Red Sky Productions have the responsibility to comply, and to demonstrate compliance with, data protection law.
Lawful basis for processing your personal data
The lawful basis on which the Βι¶ΉΤΌΕΔ processes your personal data is the performance of its public task. The Βι¶ΉΤΌΕΔ’s role is to act in the public interest and to serve all audiences with content which informs, educates, and entertains. This is consistent with the Βι¶ΉΤΌΕΔ’s wider public purposes under its Royal Charter which require it to “reflect the United Kingdom, its culture and values to the world”.
The lawful basis on which Red Sky Productions processes your personal data is Red Sky Productions’ legitimate interest in assisting the Βι¶ΉΤΌΕΔ in meeting its Charter obligations.
Sharing your personal data
The Βι¶ΉΤΌΕΔ works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the Βι¶ΉΤΌΕΔ and not independently of the Βι¶ΉΤΌΕΔ.
Shortlisted entries will be shared with the judging panel.
We may share personal data with a third party where required or permitted by law.
Retaining your personal data
The Βι¶ΉΤΌΕΔ and Red Sky Productions will retain nomination data until the initial broadcast of the awards ceremony, after which it will be deleted by the Βι¶ΉΤΌΕΔ and Red Sky Productions.
The personal data of those who are shortlisted for the awards ceremony will be retained for a period of two (2) years after the ceremony for regulatory reasons, after which time it will be deleted.
If yourβ€―contributionβ€―is broadcast, itβ€―will be retained and archived in perpetuity.
Your personal data will be stored in the UK and the EEA.
Your rights and more information
You have rights under data protection law:
- You can request a copy of the personal data the Βι¶ΉΤΌΕΔ stores about you.
- You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
- You have the right to ask for the personal data we collect about you to be deleted, however there are limitations and exceptions to this right which may entitle the Βι¶ΉΤΌΕΔ to refuse your request.
- In certain circumstances you have the right to restrict the processing of your personal data, or to object to the processing of your personal data.
- You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.
